The labels that are scanned can be your own product labels printed by the Packing Module, or labels from other suppliers if you use the Distribution Module, which allows you to scan virtually any other manufacturer's barcode label, even if it isn't a standand UCC/EAN label. You can also scan labels of product not in your pepertual inventory. When you do this, VistaTrac automatically adds the label to your inventory and marks it as sold. This is a quick one-step process to automate not only what you receive in (or label on your printing scale), but what you sell to your customers.
Orders are manually entered into VistaTrac, or can be downloaded automatically from an accounting/MRP system (see Integration). Scans are checked against the order to make sure the correct products are being shipped, preventing the wrong product from leaving your dock and reaching your customer. Substitutions are allowed, but based on product and customer preferences. Once a box is scanned, it cannot be scanned onto another order (or even the same order), unless it is first returned (allowing boxes to be pulled from one order and shipped to another, possibly more important customer, when inventories are low). More than one scanner can be used to fill the same order at the same time, increasing productivity and throughput. Scanning can be suspended and resumed at a later time. For example, if not all products for an order are ready, those that are can be scanned, and then the scanner can be used for other orders without having to finish the first order. Then, when the remaining products are ready, scanning can be resumed. Overshipments are not allowed, and undershipments are detected and reported, preventing mistakes from reaching your customer. When an order is completed, a shipping weight manifest prints automatically, and the weights are uploaded to the invoice in the accounting/MRP system (see Integration, below). If Integration is not used, the Shipping Weight Manifest contains all the sub-totals and totals needed to manually complete the invoice. Standard reports from this module include:
